Double Entry, Ledger Accounts, Balancing and the Trial Balance
The rules of double entry
Every transaction has two equal and opposite effects, so total debits always equal total credits. The accounting equation Assets = Capital + Liabilities is preserved by every entry. Debit to increase an asset, an expense or drawings; credit to increase a liability, capital or income. To decrease any of them, do the opposite. Purchases, returns inwards and carriage are debits; sales, returns outwards and discount received are credits.
Divisions of the ledger
The sales ledger holds one account per credit customer (trade receivables); the purchases ledger holds one account per credit supplier (trade payables); the general (nominal) ledger holds every other account — assets, liabilities, capital, income and expenses, including the sales and purchases accounts and, where kept, the sales ledger control and purchases ledger control accounts. The cash book acts as the cash and bank accounts.
Balancing an account
At the period end the larger side is totalled; the difference is inserted on the smaller side as balance c/d so that both sides agree, and the same figure is brought down on the opposite side as balance b/d, which is the opening balance of the next period. A debit balance b/d on a customer's account means the customer owes the business; a credit balance b/d on a supplier's account means the business owes the supplier.
The trial balance
A trial balance lists every ledger balance at a date, debit balances in one column and credit balances in the other. If the totals agree, the arithmetic of the double entry is probably correct — but a balanced trial balance does not prove the absence of errors of omission, commission, principle, original entry, complete reversal or compensating errors. Debit balances: assets, expenses, drawings, purchases, returns inwards. Credit balances: liabilities, capital, income, sales, returns outwards, and provisions such as accumulated depreciation and the allowance for doubtful debts.
Cách nhớ chiều ghi: tăng tài sản, chi phí, drawings → Nợ; tăng nợ phải trả, vốn, thu nhập → Có. Giảm thì ghi ngược lại. Mọi bút toán đều giữ nguyên phương trình Assets = Capital + Liabilities; nếu bạn đang ghi mà thấy chỉ tăng một bên phương trình thì đã ghi sai. Trong đề, hai câu hay bị lẫn: returns inwards (khách trả hàng lại) là Nợ, returns outwards (mình trả hàng cho nhà cung cấp) là Có; discount allowed là chi phí (Nợ), discount received là thu nhập (Có).
Khoá số dư: cộng bên lớn, chênh lệch đặt vào bên nhỏ gọi là balance c/d, rồi đưa xuống dưới ở bên ngược lại thành balance b/d. Số dư b/d nằm bên Nợ của tài khoản khách hàng nghĩa là khách còn nợ mình; b/d bên Có của tài khoản nhà cung cấp nghĩa là mình còn nợ họ. Trên bảng cân đối thử, chỉ chép balance b/d: Nợ gồm tài sản, chi phí, drawings, purchases, returns inwards; Có gồm nợ phải trả, vốn, thu nhập, sales, returns outwards, cùng các khoản provision/allowance (accumulated depreciation, allowance for doubtful debts) — nhiều thí sinh đặt allowance vào cột Nợ vì thấy nó gắn với receivables. Và nhớ: trial balance cân không có nghĩa sổ sách đúng.
Tài khoản bank của Priya có số dư Nợ 2,300 ngày 1 June. Ghi các giao dịch và tính số dư 30 June.

Bank là tài sản nên thu ghi Nợ, chi ghi Có. Bên Nợ: b/d 2,300; Okafor 2,100 (Cr Okafor); Capital 5,000 (Cr Capital) → tổng $9{,}400$. Bên Có: Delta 1,750 (Dr Delta); Office equipment 3,400 (Dr Office equipment); Bank charges 45 (Dr Bank charges) → tổng $5{,}195$.
Balance c/d $=9{,}400-5{,}195=4{,}205$ đặt bên Có để hai bên cùng bằng 9,400; balance b/d 4,205 bên Nợ ngày 1 July — tiền đang có ở ngân hàng.
Chú ý: vốn chủ đưa vào là Cr Capital chứ không phải Cr Sales hay Cr Drawings; bank charges là chi phí (Dr Bank charges) chứ không ghi ngược vào bank.
